Roadblock
Lock hardware is the only thing that can move your go-live date
Hardware needs to be on site by Week 3. If Westside slips again we go live on schedule without lock-based access on those 168 units, and switch it on when the hardware lands. Owner: Ops lead. Decision needed by Sep 19.

No workflows in this status right now.
At your pace
Nothing moves on until the phase before it is done.
Workflows unlock as the ones they depend on close out. When a phase completes, the guide for the next phase is sent that day, not on a fixed weekly schedule. Finish early and you move early.
Green
On track
Every item for this workflow is either done or scheduled, and nothing is waiting on a decision. No action needed from you.
Amber
At risk
An item has slipped past the week it was due but has not yet moved the go-live date. Your CSM will name it on the next weekly call.
Red
Blocked
Something is stopping the work and it will move a date if it stays open. Named owner, named ask, logged the day it turns red.
Scope
What counts as a change request.
Everything in the workflows above is inside your service agreement. Three things sit outside it, and each gets a written estimate and your approval before any work starts. No surprise invoices, no silent scope creep.
New workflow
A capability not listed in your agreement, for example adding Payments when you signed for Leasing and Maintenance only.
Custom logic
Screening rules, maintenance routing, or reporting that cannot be expressed in the standard configuration and needs engineering work.
Non-standard integration
A tool outside the supported list, or a PMS with no public API where we have to build the connection.
How it runsYou raise it with your CSM → we scope it in writing with hours and cost → you approve or decline → approved work is added to the plan with its own dates. Nothing starts before your approval.
Your commitment
Who is involved, and for how long.
Roughly five to seven hours a week, spread across two or three people. No full-time resource, no backfill.

One askName a single project owner. One coordination point is what keeps a four-week timeline on track.
Measuring success
Three numbers, reviewed at 30, 60 and 90 days.
Agreed in Discovery and baselined before go-live, so “is this working” has a factual answer.
Metric 01
Days to lease
Listed to signed, per unit. Self-guided tours remove the scheduling bottleneck between interest and viewing.
Metric 02
Cost per lease
Staff hours plus tooling spend, divided by leases signed. The hard-dollar number your CFO will ask about.
Metric 03 · leading
Self-guided tour share
The share of showings that happen without a staff member on site. It moves first, and it predicts the other two.
